Parent / Guardian Policy

Kids HYROX Participation Terms

These terms apply to a child’s participation in a COULDA BEEN YOU Kids HYROX preparation session operated by Fit To Fly Performance LTD (“CBY”). The parent or guardian submitting the form agrees to these terms for themselves and, where legally permitted, on the child’s behalf.

1. Parent Or Guardian Authority

The person submitting the form must have parental responsibility or other legal authority to give the permissions requested. They must provide complete and accurate information and tell CBY before the session if the child’s health, medication, emergency contacts, support needs or collection arrangements change.

2. Session And Event Registration

The session provides age-appropriate preparation for a HYROX Youngstars event. It may include running, SkiErg, sled push or pull variations, burpees or frogger movements, rowing, carries, lunges, squats, wall balls and adapted strength or conditioning work. CBY may change activities, loads, distances or timings for age, ability, venue or safety reasons.

This form is not entry to the HYROX event and does not replace the event organiser’s registration, waiver, rules, medical requirements or parent permissions. A submitted form does not guarantee a session place until CBY confirms it.

3. Suitability And Medical Information

The parent or guardian must disclose anything reasonably relevant to safe participation, including medical conditions, allergies, medication, injuries, recent illness, disability, neurodiversity, sensory or communication needs and clinician restrictions. CBY is not providing medical diagnosis or medical clearance.

If there is uncertainty about fitness to take part, the parent or guardian should obtain advice from an appropriate qualified health professional. CBY may request written medical clearance, adaptations or non-participation where reasonably required for safety.

4. Illness, Symptoms And Stopping

A child must not attend when unwell, infectious or medically unfit. The child must stop and tell a coach immediately if they experience pain, dizziness, faintness, chest discomfort, unusual shortness of breath, an allergic reaction or any other concerning symptom. A coach may pause or stop participation at any time.

5. Medication And Action Plans

The parent or guardian is responsible for providing any required medication in date, clearly labelled and available as agreed, together with a current action plan where relevant. Any request for CBY to hold or assist with medication must be agreed in writing before the session. Coaches do not routinely administer medication and may refuse an arrangement they are not trained, authorised or equipped to manage safely.

6. First Aid And Emergencies

CBY may provide appropriate first aid, contact the parent or emergency contact, call emergency services and share relevant health information with first aiders or clinicians where reasonably necessary to protect the child. If the parent cannot be reached, CBY may take reasonable steps to safeguard the child’s welfare. Decisions about medical treatment are made by appropriately qualified clinicians under applicable law.

7. Training Risks

Running and functional fitness carry inherent risks even where reasonable care is taken. These include fatigue, delayed muscle soreness, trips, falls, collisions, blisters, strains, sprains, equipment-related injury, asthma symptoms, allergic reactions and, rarely, serious injury. The parent and child are expected to follow safety instructions, use only assigned equipment and report concerns promptly.

8. Coaching, Conduct And Safeguarding

The child must follow reasonable instructions from coaches and venue staff, stay within designated areas and behave respectfully. Bullying, harassment, abuse, unsafe behaviour or repeated refusal to follow instructions may lead to removal from an activity or the session. CBY will act on safeguarding concerns in line with its duties and may share information with appropriate authorities where necessary to protect a child.

9. Arrival And Collection

The parent or guardian must follow the arrival, supervision and collection arrangements communicated by CBY. A child will only be released in line with the authorised arrangements recorded or a change confirmed directly with the lead coach. The parent must remain contactable during the session unless CBY has agreed otherwise.

10. Photos And Video

Identifiable photos or video for CBY’s website or social media will only be intentionally captured or used where the parent or guardian selects “Yes” on the separate consent choice. Consent is optional, does not affect participation and can be withdrawn for future use by contacting CBY. Withdrawal cannot always remove material already lawfully published or shared.

11. Session Changes And Cancellation

CBY may reasonably change, postpone or cancel a session because of venue availability, coach illness, weather, low attendance, safety or events outside its control. Where a session is paid, any refund or transfer will be handled under the information supplied at booking, the CBY Refund Policy and applicable consumer law.

12. Liability And Legal Rights

Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or restricted. Nothing affects statutory consumer rights. Acknowledging inherent training risks is not an agreement to accept negligent coaching, unsafe equipment or an unsafe environment.

13. Personal Information

CBY uses parent and child information to administer the session, assess readiness, make reasonable adjustments, manage safeguarding, provide first aid and respond to emergencies. Health and disability information receives additional protection and is processed only where a valid lawful basis and special-category condition apply. 14. Concerns And Complaints

Operational, privacy or safeguarding concerns should be sent to support@couldabeenyou.com. If a child is in immediate danger, call 999. These terms are governed by the law of England and Wales, without taking away any mandatory consumer protections that apply where the parent or child lives.
